WHAT WE NEED?

  • College degree, specific training in corporate affairs is an advantage.
  • At least three years of progressively more responsible corporate affairs and administrative work experience, preferably reporting for a manager.
  • High level understanding of Government documents and strong skills in writing official documents and business correspondence.
  • High level understanding of public relations between different stakeholders and the company is essential.
  • High level of proficiency in using communication tools and writing communication content.
  • Requires advanced verbal and written communication skills in English and fluency in Vietnamese.
  • Requires integrity in task execution and interactions with stakeholders.
  • Requires excellent computer skills, including keyboard and all associated software.
  • A general understanding of basic business practices is essential.
  • Must have high level of organizational and planning skills, so that work flow is managed efficiently and accurately.
  • Must have a high level of proficiency in the use of MS Office, including Word, Excel, Power Point and other related applications.
  • Must have excellent communications skills, both verbal and written.
  • Must have excellent interpersonal skills, with the ability to interact with all levels of co-workers and individuals.
  • Must be able to handle matters of company business with confidentiality, carefulness and integrity.
  • Must be able to use various office machines, such as copy machine, facsimile machine, etc
  • Must have sound knowledge & ability to use a multi-line telephone system.

A high level of understanding of office procedures is essential.

 

WHAT YOU DO?

 

  • Be a focal point to maintain and develop relationship with authorities, shareholders, media and other partners to support company business.
  • Read, research, and analyze relevant government policies and regulations, provide timely updates, and keep track of any changes.
  • Prepares outgoing mail and correspondence, including e-mails.
  • Compiles and types statistical reports and some market intelligence for corporate affairs.
  • Handling of incoming and outgoing relevant corporate affairs’ mail and courier shipments.
  • Prepares outgoing mail and correspondence, including e-mails.
  • Coordinates manager’s schedule and makes appointments.
  • Organizes and maintains a filing system, and files correspondence, reports, corporate documents and other documents appropriately.
  • Prepares media materials, arranges interviews for managers, terminal filming or corporate movies and so on.
  • Assists the manager in activities related to participation in organizations and associations to support company business and enhance the company's image.
  • Assists in CSR issues and affairs
  • Act as focal point upon arrival for relevant visitors (welcome, visitor registration, referral, etc.)
  • Greets scheduled visitors and escorts to appropriate area or person.
  • Arranges for company and port tours; handles arrangements for distinguished visitors and guests
  • Assists in arranging visits and events of the company
  • Be in charge of administration role and compiles up-to-date contents of company website, portal and social networks
  • Monitors and update media/newspaper/press coverage of the industry to managers and relevant departments
  • Manages corporate gifts storage in good control system and ensures reasonable delivery to departments
  • Coordinate and compile material for the terminal newsletter from departments, conduct interviews, write necessary columns, articles if any
  • Responsible for preparing the entire layout and design the newsletter, maquette and liaise with the printers to execute the same and release the letter or advertisement within the prescribed time
  • Assists relevant departments in complying with regulations or fulfilling legal documents
  • Prepares data, images, photos, videos and other stuffs for activities to enhance company’s reputation in community.
  • Translate certain documents and materials or interpret in discussions for superiors if needed.
  • Carry out any other tasks as assigned by the direct manager
